Job Description

Morgan Stanley Expansion Capital is seeking an Executive Assistant to provide comprehensive administrative support to senior management and team members. The role involves calendar management, travel arrangements, expense management, and facilitating communication within the team, primarily based in New York.

Requirements

  • Minimum of 4 years' experience in an Executive or Administrative Assistant role, preferably within the financial services industry.
  • Bachelors degree preferred, or equivalent corporate experience.
  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, and Outlook.
  • Strong communication, writing, judgment, and problem-solving skills.
  • Ability to work independently, take initiative, use judgement, and manage multiple tasks concurrently in a fast-paced environment.
  • Must work well with short deadlines and high priority deliverables.
  • High integrity and trainable is critical.

Responsibilities

  • Serve as the first point of contact for inbound and outbound communications, exercising discretion with sensitive information.
  • Maintain executives' calendars, schedule meetings and conference calls, and manage meeting conflicts using Microsoft Outlook.
  • Arrange domestic and international travel, including flights, hotels, car services, and necessary travel documentation.
  • Prepare, submit, and monitor expense reports, ensuring accuracy and timely submission.
  • Create, edit, and format documents using Microsoft Office Suite and Adobe Pro.
  • Interface with various departments to collect information and respond to requests on behalf of managers.
  • Assist with ad hoc projects and provide backup coverage for other administrative assistants as needed.
